Shopify Payments 'Pending Verification': KYB Checklist
Why Shopify Payments gets stuck on 'Pending Verification' for non-resident merchants, and the exact KYB documents — address proof, entity records, ID — that resolve it.

What 'Pending Verification' actually means
Shopify Payments runs Know Your Business (KYB) checks before activating full payouts on any new merchant account. A 'Pending Verification' status means Shopify's underwriting system has flagged something in your submitted information that it can't automatically confirm — most commonly a mismatch between your business entity details and the address or identity documents on file.
This status is common for non-resident merchants specifically because the standard flow assumes a US-resident owner with a US address matching their personal ID — any deviation from that pattern (a non-resident owner, a registered agent address, a foreign passport) routes the application into manual review.
The address proof problem
The most frequent cause of a stuck verification is address mismatch. Shopify wants your LLC's commercial address to be consistent and verifiable — a registered agent address that's shared by hundreds of other companies (a common CMRA or UPS Store-style mailbox) is more likely to get flagged than a dedicated commercial lease address. If your registered agent, your LLC filing, and your Shopify business profile all list different addresses, that inconsistency alone can stall verification.
- Use the same commercial address consistently across your LLC filing, EIN application, and Shopify business profile
- Avoid generic virtual-mailbox addresses flagged as CMRA (Commercial Mail Receiving Agency) by USPS — these are a known trigger for additional scrutiny
- If your registered agent provides a dedicated commercial lease address rather than a shared mailbox, use that consistently
The full KYB document checklist
To clear verification on the first attempt, have these ready before you submit — not after Shopify asks:
- State-issued Articles of Organization / Certificate of Formation
- Official IRS EIN confirmation letter (CP-575 or 147C)
- Valid government-issued passport for the beneficial owner
- A live store with real product listings, a working checkout, and visible policy pages (refund, shipping, privacy, terms)
- Consistent business name and address across every document submitted
Submitting an incomplete store (placeholder products, missing policy pages) alongside your verification documents is a separate, very common cause of extended review — Shopify evaluates the storefront itself, not just the paperwork.
If verification is already stuck
Contact Shopify support directly through the Payments section of your admin dashboard rather than general support — the Payments team handles verification specifically and can often tell you which exact document triggered the hold. Resubmitting the same documents without addressing the underlying mismatch (usually address or name inconsistency) typically just resets the review clock without resolving it.
How HynoGo helps
HynoGo provides a dedicated commercial lease address for registered agent service (not a shared CMRA mailbox), which directly addresses the most common verification trigger. We also ensure your EIN confirmation letter, LLC filing, and banking documents all carry identical business details, eliminating the mismatch issue before you ever submit to Shopify.
